Front Office internship on Saint Martin, Caribbean

The students will be trained to carry out daily operational duties through training.  Based on the performance of daily tasks, the interns will discuss about their possible topics of their projects with management after the initial operational trainings are complete. 
With the guidance of our management team, and dedicated General Manager, most interns will have a chance to work directly with all management regarding their projects. Hotel does encourage our interns to think critically, analytically, and devise structural solutions.  People who are open-minded, mature and proactive have a great chance to chance to learn essential managerial skills depending on their willingness to learn. 
We believe in teaching basic essential skills but letting our interns workindependently.  Most of times, proactive attitude is the key to successful results in academic projects and overall internship.  Your internship supervisors and our General Manager will provide needed guidance; however, it is intern’s responsibility to ask management for appointments to discuss progresses in their projects. 
Interns are involved in all departments ranging from reservations, front desk, marketing and accounting as well as understanding how different departments are interconnected.  Interns’ projects are important to our operations and good quality works by interns are linked to increased profitability and bottom-line. By working in the hotel, there are plenty of chances for interns to gain overview of hotel operations and obtain bird’s eye perspective.

 JOB DESCRIPTION
The daily activities are (but not limited to): 
  • Process all guest check-ins by confirming reservations, assigning room, and issuing and activating room key
  • Process all payment types such as room charges, cash, checks, debit, or credit
  • Process all check-outs
  • Answer, record, and process all guest calls, messages, requests, questions, or concerns
  • Inspect rooms to quality control rooms for check-in
  • Supply guests with directions and information regarding property and local areas of interest (Provide guests with all kinds of information; activities, dinner reservations, excursions to nearby islands, boat rental, diving & snorkeling, spa appointments, car rental etc..)
  • Run daily reports (arrivals, departures, housekeeping and maintenance reports and reservations), identify any special requests, and check reports for accuracy
  • Provide complimentary drinks in the room
  • Working with RoomMaster 2000, our hotel management/reservation system
  • Collect tour operator voucher for accounts payable
  • Updating and/or adjusting the client data base in the reservation system, Room master 2000
  • Preparing special requests for guests
  • Reviews hotel on referral websites
  • Contact tour operator regarding reservations, rates, estimated times of arrival
  • Office organization – increased efficiency, and minimized costs
  • Maintain guest surveys
  • Walking around the property for PM shift and reporting maintenance issues
  • Creating daily housekeeping schedules
  • Weekly inventory
  • Make a photocopy of credit card slips every day
Along with the daily tasks of the front desk, there are also several projects that can be carried out by the interns, related to office procedures, guest services, facility management, sales and marketing, accounting, etc.
Interns will follow all company policies and procedures; ensure uniform and personal appearances are clean and professional; maintain confidentiality of proprietary information; protect company assets. Welcome and acknowledge all guests according to company standards; anticipate and address guests' service needs; assist individuals with disabilities; thank guests with genuine appreciation. Speak with others using clear and professional language; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others. Comply with quality assurance expectations and standards. Stand, sit, or walk for an extended period of time. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.
We accept 6 month internship; we have 2 intake periods at the end of January and the end of July every year. These dates can be flexible upon request.  It is highly recommended that the new intern actually arrive 2 weeks prior to the official date or arrival, in order to receive some training from the current interns and the office staff.
